DEPARTMENT: Maintenance/Administration
JOB TITLE:  Maintenance Administrative Assistance
REPORTS TO: Maintenance & Office Manager
FLSA:  Full-Time Hourly, Non-Exempt

POSITION SUMMARY
Under supervision of the Maintenance Manager & Administration Office Manager.  Types correspondents, performs filing, take messages, collects and report statistics, manage the set-up and breakdown of event related utility service orders, and manage the Smart Maintenance System for the building repairs and services.  

MAJOR RESPONSIBILITIES
• Create and maintain spread sheet data base for purchase orders and requisitions.
• Follow up on any projects given to the Maintenance Manger.
• Manage the set-up and breakdown of event related utility service order desks.  Includes verifying vendor’s needs during events, placing courtesy calls and providing confirmation of payments for services.  Build rapport w/clients ensuring information on bill of sale is accurately recorded into spread sheet/data base.
• Assist with reception and console coverage as needed
• Maintains department bulletin boards.
• Create work orders by input into the Smart Maintenance System Data base.
• Responsible for the monthly report of all building utilities.  Va. Power, Water, Waste and Recycling etc.
• Ability to work with moderate supervision.
• Detailed oriented and the ability to make rational decisions.
• All other duties/responsibilities as assigned to assist with the function of the Convention Center.

WORKING CONDITIONS
Fast pace, multifunctional office environment where a business professional attitude and appearance is required.

KNOWLEDGE, SKILLS & ABILITIES
• A Bachelor’s Degree in Business Administration, or the equivalent combination of education and experience.
• Combination of 1-2 years of business office experience.
• Type minimum 45 words per minute with a minimum of six errors.
• Familiar with Microsoft Word, Excel and other office software.
• Ability to work extended and/or irregular hours including nights, weekends, and holidays.
• Ability to operate desktop PC and laptop computers, calculators, fax machines, copiers and other office equipment.
• Excellent interpersonal, oral and written communication skills.
• Must be able to speak, read and write English fluently.DEPARTMENT: Maintenance/Administration
